Algoma University Business Society is looking for a creative and enthusiastic Social Media Assistant to join our team. As a Social Media Assistant, you will be responsible for managing our social media platforms and growing our club’s online presence, engaging with our community, and promoting the exciting activities and achievements of our club.

Key Responsibilities:

Assist the manager in creating content for social media platforms (Instagram, LinkedIn, and Facebook).
Monitor and engage with followers by responding to comments and messages.
Assist in capturing and posting event highlights through photos and videos.
Help track social media analytics to improve engagement and future posts.
Contribute to the development of social media campaigns for events and activities.
Write up content for social media posts.
Responsible for putting up posters around campus.
Support and promote club partners when needed.
Report directly to the VP of Marketing

Eligibility:

Currently enrolled as a student at Algoma University.
Knowledge of social media trends.
Familiarity with design tools like Canva and Adobe.
Strong written and verbal communication skills.
Creative mindset with the ability to think outside the box.

External Event Coordinator

Algoma University Business Society is looking for a dynamic and detail-oriented External Event Coordinator to lead the planning and execution of AUBS four main external events. This role involves managing event logistics, working with vendors, and ensuring successful collaborations with external stakeholders. If you enjoy organizing impactful events and networking with industry professionals, this position is for you.

Key Responsibilities:

Develop comprehensive event plans, timelines, and checklists.
Research and secure event venues, ensuring they align with the event’s goals and audience needs.
Organize catering, AV equipment, décor, and other logistical requirements.
Maintain strong presentation and design skills for event promotion.
Ensure accessibility and inclusivity during event planning and execution.
Identify cost-saving opportunities while maintaining event quality.
Collaborate with the marketing team to develop event promotion strategies.
Engage with attendees before, during, and after the event through social media and in person.
Oversee event setup, execution, and teardown.
Troubleshoot any issues that arise during the event to ensure smooth operations.
Prepare post-event reports, highlighting key successes, challenges, and areas for improvement.
Maintain detailed records of all event details for future reference and improvements.

Develop detailed event timelines, checklists, and schedules based on team members' availability for smooth event execution.
Book venues and arrange necessary equipment.
Manage attendance tracking for events.
Create and manage event budgets to ensure cost efficiency.
Collect and analyze team feedback to measure event success and areas of improvement.

This role is crucial in maintaining the financial sustainability of AUBS while supporting events, initiatives, and student development opportunities.

Key Responsibilities:

Budgeting & Financial Planning: Develop and manage the annual budget in collaboration with the executive team, ensuring funds are allocated effectively for events and initiatives.
Record-Keeping: Maintain accurate financial records, including receipts, invoices, and payment authorizations.
Fundraising & Sponsorship: Identify and pursue fundraising opportunities, sponsorships, and partnerships to support AUBS activities.
Event Support: Oversee financial aspects of events, including managing ticket sales, handling payments, and ensuring budget compliance.
Banking & Account Management: Manage AUBS’s bank account, reconcile bank statements, and approve disbursements for authorized expenses.

This role is critical in ensuring that AUBS events align with organizational goals, provide value to members, and strengthen partnerships with external stakeholders. The VP of Events will oversee all aspects of event logistics, from securing high-profile speakers to managing event-day responsibilities.

Key Responsibilities:

Collaborate closely with the President and Executive Members to strategize and plan events, ensuring alignment with AUBS’s mission and objectives.
Act as a liaison between external and internal teams, streamlining communication and logistics for seamless event execution.
Source and secure high-profile speakers to enhance the impact and engagement of each event.
Negotiate and finalize food and beverage services with vendors, ensuring quality service and cost efficiency.
Keep all stakeholders updated through regular progress reports, fostering transparency and teamwork.
Update the Event Project Management System to document milestones, tasks, and timelines for efficient project tracking.
Assign event day responsibilities to each AUBS member, ensuring smooth and effective event execution.
Arrange Masters of Ceremonies (MC) for events, enhancing professionalism and event flow.
